This Action Plan operationalizes our Sustainable Development Policy. It translates the policy’s commitments into concrete objectives, each with assigned responsibility, a timeline, and measurable key performance indicators (KPIs). The plan covers the period 2026–2028 and is reviewed annually, with KPIs tracked quarterly.
Targets in this plan are forward-looking commitments; they describe what we are working toward, not results we have already achieved or independently verified.
Objective 1: Reduce Emissions from Operations and Travel
Responsibility: Operations Lead (executive sponsor: CEO)
Actions
- Maintain remote-first working as the default operating model, with no requirement to commute for routine work.
- Establish a simple travel policy that requires a business justification for air travel and defaults to video conferencing for internal and most external meetings.
- Track business travel (trips, distance, and estimated emissions per employee) starting in 2026 to establish a baseline.
Timeline
- 2026 (Q3–Q4): Travel policy documented; travel tracking in place; baseline year begins.
- 2027: First full year of travel data; set a reduction target against the 2026–2027 baseline.
- 2028: Report progress against the target in the annual review.
KPIs
- % of workforce working remotely or hybrid (target: ≥ 90%).
- Business-travel emissions per employee per year (baseline established 2027; reduction target set thereafter).
- Number of flights per employee per year.
Objective 2: Lower the Carbon Intensity of Our Cloud Infrastructure
Responsibility: Engineering Lead
Actions
- Inventory all production and development cloud workloads and the regions in which they run.
- Where latency, data-residency, and cost constraints allow, prioritize cloud regions with higher carbon-free-energy supply when deploying new workloads or migrating existing ones.
- Include energy efficiency (right-sizing instances, decommissioning idle resources, autoscaling) in routine infrastructure reviews.
Timeline
- 2026 (Q4): Complete workload/region inventory; identify candidate workloads for cleaner regions.
- 2027 (Q1–Q4): Apply region-selection guidance to all new deployments; migrate suitable existing workloads at natural maintenance points; quarterly idle-resource cleanup established.
- 2028: Region and efficiency criteria embedded as a standing step in infrastructure change reviews.
KPIs
- % of cloud workloads (by compute spend) running in regions the provider identifies as higher carbon-free-energy regions.
- Number of idle or oversized resources decommissioned per quarter.
- % of new deployments where region carbon profile was assessed (target: 100% from 2027).
Objective 3: Responsible Hardware Lifecycle and E-Waste
Responsibility: Operations Lead
Actions
- Adopt a minimum device refresh cycle of four years for laptops and peripherals, with repair preferred over replacement.
- Maintain an asset register recording purchase date and disposition of all company devices.
- Route all end-of-life electronics through a certified e-waste recycler and retain disposal records.
Timeline
- 2026 (Q4): Asset register complete; certified recycling partner selected.
- 2027 onward: All disposals documented; refresh cycle enforced through the asset register.
KPIs
- Average device refresh cycle in years (target: ≥ 4).
- % of retired devices processed through certified recycling (target: 100%).
Objective 4: Responsible Procurement
Responsibility: Operations Lead
Actions
- Add a sustainability screening step to our procurement checklist for new suppliers above a defined spend threshold, covering environmental practices, labour standards, and data protection.
- Prefer suppliers with published sustainability or responsible-business commitments where offerings are otherwise comparable.
- Re-screen significant existing suppliers at contract renewal.
Timeline
- 2026 (Q4): Screening questions and checklist step defined.
- 2027 (Q1): Screening applied to all new qualifying suppliers.
- 2027–2028: Existing qualifying suppliers screened at renewal.
KPIs
- % of new qualifying suppliers screened before engagement (target: 100% from 2027).
- % of total qualifying supplier spend covered by screening.
Objective 5: People, Inclusion, Well-Being, and Skills
Responsibility: People & Culture (executive sponsor: CEO)
Actions
- Maintain structured, bias-aware hiring practices (consistent interview rubrics, diverse candidate sourcing).
- Deliver a short sustainability and responsible-AI onboarding module to every new employee and contractor, and an annual refresher to the whole team.
- Support flexible schedules and monitor workload and well-being through regular one-on-ones and an annual team survey.
- Develop community skills-development activities such as mentorship and internships.
Timeline
- 2026 (Q4): Onboarding module live; first annual survey run.
- 2027 onward: Annual refresher and survey each year; results reviewed by leadership.
KPIs
- Sustainability/responsible-AI training completion rate (target: 100% of new hires within 30 days; annual refresher ≥ 95%).
- Annual employee survey participation rate and well-being score trend.
- Number of internship or mentorship placements per year.
Objective 6: Responsible AI and Data Privacy
Responsibility: Engineering Lead (executive sponsor: CEO)
Actions
- Maintain product safeguards ensuring end users can recognize they are interacting with an AI agent.
- Review AI safety and misuse considerations as a standing item in product design reviews for significant new features.
- Conduct an annual internal review of privacy practices against applicable privacy legislation and our published privacy policy.
Timeline
- 2026 (Q4): AI-safety item added to the product design review template; first annual privacy review scheduled.
- 2027 onward: Annual privacy review completed each year.
KPIs
- % of significant feature design reviews that include the AI-safety checklist item (target: 100%).
- Annual privacy review completed on schedule (yes/no).
Integration into Operational Workflows
Sustainability is embedded in our day-to-day processes rather than managed as a separate program:
- Procurement: the supplier sustainability screen is a mandatory checklist step for qualifying purchases.
- Onboarding: every new employee and contractor completes the sustainability and responsible-AI module and reviews the Sustainable Development Policy.
- Quarterly OKR reviews: relevant KPIs from this plan are reviewed alongside business objectives each quarter, with owners reporting status.
- Infrastructure and product reviews: cloud-region carbon criteria and AI-safety considerations are standing items in the respective review templates.
- Annual public review: this page and the policy page are reviewed and updated annually, and the “Last reviewed” date is refreshed.
Monitoring and Reporting
Each objective owner tracks their KPIs quarterly and reports status in the quarterly OKR review. Executive leadership conducts a formal internal review of the full plan annually, assessing progress, adjusting targets, and approving updates. Material changes are reflected on this public page.
